One of my favorite parts of being a wedding planner is getting to work alongside incredibly talented vendors. Every wedding teaches me something new, and one thing I've learned over the years is this:

The DJ is so much more than the person who plays the music.

Recently, I sat down with Edwin from Win Show Events to talk about what couples should actually be looking for when they hire their wedding DJ. We covered everything from common hiring mistakes to rain plans, backup equipment, bilingual weddings, and why a great DJ is absolutely essential to the flow of your wedding day.

One of the biggest misconceptions couples have is thinking a DJ just shows up with a laptop to push play.

They're coordinating ceremony audio, cueing processional music, communicating with your planner and photographer, announcing events, managing transitions, adjusting the energy in the room, troubleshooting technical issues, and keeping your reception moving on schedule.

As Edwin explained, communication with his couples starts long before the wedding day. Through planning meetings, music selection, timelines, and client portals, the work begins months before anyone steps onto the dance floor.

Come wedding day your DJ should be on “high alert” to be able to step in and troubleshoot any equipment issues, pivot when the weather doesn’t cooperate, monitor the energy of the room, and be able to adjust when things don’t go according to plan.

That is exactly why hiring an experienced DJ makes all the difference when it comes to a seamless wedding experience.

Don't Shop for a DJ Based on Price Alone

This was probably the biggest piece of advice Edwin shared.

Too many couples compare DJs by price instead of asking the questions that actually determine whether someone is the right fit.

The cheapest option isn’t always the best.

A professional DJ is carrying thousands of dollars in equipment, investing years into their craft, maintaining insurance, building backup systems, and developing the experience needed to keep your wedding running smoothly.

Besides this, having a less experienced DJ sometimes comes with its own set of problems, such as the DJ not having their own equipment – and not knowing that they need to provide it. (Yes, this was a real issue!)

Making sure to ask the right questions during your consultation and trusting the vibe you get is key!

When you're meeting with DJs, don't be afraid to ask detailed questions.

“From the most minimal questions to the most technical, all questions are valid” –Edwin from Win Show Events.

Some of the most important include:

Do you provide your own sound system?
Have you worked at our venue before?
Have you worked weddings similar to ours?
Do you have liability insurance?
How do you communicate with couples before the wedding?
What happens if equipment fails?
Do you have backup equipment?
How do you coordinate with our planner and photographer?
What is your rain plan?

These conversations tell you far more than a price quote ever will.

"Bilingual" Doesn't Always Mean What You Think

Living in Central Florida, we work with couples from so many different cultural backgrounds.

One point Edwin brought up that really stuck with me is that there is a huge difference between:

playing music in another language,
speaking another language,
and confidently serving as a Master of Ceremonies in another language.

Those are completely different skill sets.

But if I had to identify the people keeping everything moving behind the scenes, it's your planner and your DJ.

Think of it this way:

The DJ is the head.
The planner is the neck.

The planner is constantly coordinating vendors, solving problems, and adjusting the timeline.

The DJ is communicating with your guests and controlling the pace of the reception.

When those two vendors are communicating well, your wedding feels effortless.

When they aren't… trust me, it's a disaster behind the scenes.

Backup Plans Matter More Than You Think

One story Edwin shared perfectly illustrates why experience matters.

During one wedding, the venue lost power.

Because his team had a battery-powered backup sound system, introductions, speeches, and dinner music continued while the venue worked to restore electricity.

The guests barely noticed.

That's professionalism.

Equipment fails.

Florida storms happen.

Technology glitches.

Experienced vendors don't hope nothing goes wrong.

They prepare for when it does.

Florida Couples Need a Rain Plan

Florida is one of America's top wedding destinations for a reason. From its beautiful tropical landscapes to its vibrant cities, there's so much to love. But that tropical climate also means one thing is almost inevitable: rain.

Every outdoor wedding needs a rain plan.

Not just for your guests—but for your vendors.

Professional DJs are responsible for protecting thousands (sometimes tens of thousands) of dollars in equipment.

That means they may require tents, covered areas, or alternate ceremony locations before they'll set up outside.

It's not about being difficult.

It's about protecting the equipment that your wedding depends on.

If severe weather rolls in, you want vendors who already know exactly what Plan B looks like.

The Core Vendor Team

One point Edwin made really stood out to me.

He described what he calls the "core vendor team."

For most weddings, that includes:

Venue
Planner or Coordinator
DJ
Photographer
Caterer

These professionals work together all day long.

When each one is experienced—and when they're communicating with each other—your wedding day runs so much smoother.

Trying to replace one of those roles with a well-meaning friend or family member often creates stress for everyone involved. We love Uncle Joe... just maybe not as your DJ, caterer, photographer, and coordinator.

Reading the Room Is an Art

A great DJ isn't just following a playlist.

They're reading people.

They're watching the dance floor.

They're paying attention to the energy in the room.

They're adjusting songs, mixing music, changing genres, taking requests and keeping guests engaged throughout the night.

That's not something Spotify can do.

You Are the Spotlight

One story Edwin shared really stuck with me.

He told me about a couple who described themselves as "low-key." They weren't big dancers, and throughout most of the reception they spent their time chatting with guests at the bar—which happened to be outside of the reception space.

It brought up such an important point.

While your DJ absolutely has the ability to elevate the energy and keep the celebration moving, you and your fiancé ultimately set the tone for your wedding.

After all, your guests didn't come for the DJ.

They came to celebrate you.

If you're on the dance floor laughing, dancing, and soaking in every moment, your guests are much more likely to join you. If you're tucked away at the bar or spending most of the evening elsewhere, your guests will naturally follow your lead.

So if you're dreaming of a packed dance floor, an incredible atmosphere, and the kind of reception people talk about for years afterward, remember this:

Your DJ creates the soundtrack—but you create the energy.

The best weddings happen when a talented DJ and an excited couple work together to create an unforgettable experience.

Trust Your Gut

One of my favorite moments from our conversation wasn't about music at all.

It was about trust.

When you're meeting vendors, ask questions.

Learn about their process.

Understand how they work.

But also pay attention to how they make you feel.

Do they listen?

Do they communicate clearly?

Do they seem genuinely invested in your wedding?

Do you feel comfortable with them?

Sometimes your instincts tell you everything you need to know.

Trust them.

They're responsible for setting the mood, guiding your guests, coordinating with your vendor team, solving problems behind the scenes, and keeping your celebration moving.
